Medical Weight Management Terms and Conditions

Online Services Overview

All Strathearn Health and Beauty Ltd online service are overseen by the Clinical Director (clinic doctor) and senior management. The online services have been introduced for patient convenience and safety.


Weight Management Service

All weight management patients will be expected to complete a medical questionnaire in order to access their suitability for the weight management programme. Existing patients who are returning after an interval period of 3 months or who have had a change in circumstances (new medication, health condition, treatment…) will also be expected to complete a new medical questionnaire.

On successful completion of the medical questionnaire on our website you will be automatically redirected to our booking platform where you can choose a suitable date and time for an appointment.

If for any reason the doctor reviewing your questionnaire has any concerns or queries you may receive a telephone call to discuss the matter further. If your questionnaire shows that you are unsuitable for the weight management programme you will be notified prior to your appointment and no charge will be taken from your payment method.

In most cases patients will be expected to attend an initial in clinic face to face consultation with the doctor.

All weight management programmes are for a 12 weekly course and any medications must be taken as prescribed by the doctor. Patients who routinely miss appointments, follow the weight management plan or do not take the medication as prescribed my have their programme terminated. In addition the clinic will monitor the progress of each patient and make a decision based on results to determine the progression of the course.

In Clinic Appointments

Patients who opt for the in clinic appointments as part of their weight management programme will receive an email notification confirming their appointment including the terms and conditions of attending the clinic. All patients attending the clinic will be expected to pay close attention to our current COVID-19 rules.

Online Appointments

Patients who opt for virtual appointments (online) will receive an email notification confirming their appointment. A further email containing a link to a secure virtual meeting room will be received 24 hours prior to appointment. This link will only be active from 10 minutes before the start time of the appointment. This link is only sent by email and is required for the online consultation so patients are remined to ensure they provided an accurate and accessible email address when registering. Please remember to check your junk mailbox if you have not received the email link on the day of the appointment. If your link is not in your email or junk mailbox please contact the clinic the morning of your appointment. Please do not wait until the time of your appointment to contact us about missing emails/links as there may not be enough time to rectify this. All patients are expected to be available and in a suitable location to answer confidential medical questions at the time of their online appointment. If the patient is in a location which is unsuitable and/or cannot answer the doctors questions the doctor may wish to conclude the consultation and you may still be charged.

A blood pressure monitor and weight scales must be available at the time of your consultation to supply reading to the doctor. A blood pressure monitor is supplied as part of your initial weight management programme booking, (replacements can be purchased directly from the clinic). Patients unable to provide blood pressure and weight readings at the time of the consultation may not be allowed to proceed with the appointment but you may still be charged.

We would remined all weight management patients that these appointments are with a qualified doctor and a requirement for the prescribing of weight management medications.

Medications Receipt/Delivery

Patients attending the clinic may take receipt of the weight management medication at the end of their consultation.

Patients using the virtual online consultation service will have their medication delivered using a special medication courier. Deliveries are batch processed and may take up to 7 working days for delivery however we aim to deliver within 5 working days. Patients will be informed by the courier on the day of delivery with estimated delivery time. *A signature will be required for all medication deliveries

*Signature is not required during COVID-19 restrictions.

Patient Portal

All patients who are entered into the Weight Management Service will be expected to set up their Patient Access Portal using the instructions provided via email. This portal allows you to access important health information relating to your program. It will also include helpful tools and resources to assist your weight management and allow you to track your progress.

By registering to use any of our services,

• You confirm that the information you have provide is accurate and complete

• Agree to keep your username and password confidential and to take reasonable steps to protect your online patient record

• Confirm that you are aged 18 or over.

Professional standards and qualifications

The online clinic service involves information, advice, and treatment involved in the weight management service and all our patients while on a programme are monitored to ensure patient safety and best possible results. The service is provided by qualified doctors who are registered with General Medical Council in the UK. Strathearn Health and Beauty is registered with Healthcare Improvement Scotland (regulatory body for independent healthcare providers) All Strathearn Health and Beauty clinic doctors are registered with General Medical Council.

Privacy and security

Your privacy is important to us and the following information explains how we will use and protect it.

Privacy of your information

Strathearn Health and Beauty ICO Data Protection legislation. We use the information you have provided about your health and lifestyle to administer and provide the service that you have requested. We will not share your personal information with any organisation other than those directly involved in delivering these services, namely Strathearn Health and Beauty Ltd, and courier delivery service (which will only be your name, address and phone number). We encourage all our patients to consent to two way sharing of their clinic treatment and any prescribed medication with their GP. In certain situations, we may need to contact a healthcare professional, social services, or the emergency services without your consent. This includes but is not limited to situations where we may have significant concerns about your health and/or wellbeing; or where this is otherwise required by law.

Security

Online services are provided using secure cloud-based technology with top end encryption. No data uploaded by the patient will be printed, downloaded, or otherwise copied onto hard copies or portable media. We would encourage all patients to ensure that the security on their personal devices are up to date and that working antivirus is installed and with the latest release. In order to provide online services, Strathearn may use 3rd party software or apps.

Contact and Messaging

By signing up to the services Strathearn Health and Beauty the patient has given consent to receiving communications via email and/or SMS relevant to their treatment.

Verifying your identity

Photo ID may be required for verification of all new patients on their first visit to the clinic. Current patients are not required to provide Photo ID. Current patients who have not attended the clinic in the past 12 months will have to register again as a new patient, however, will not require to provide Photo ID.

Online Information and advice

The information, advice and medications provided by Strathearn Health and Beauty clinic doctors is based on the information you have supplied to us. It is your responsibility to ensure the information is correct. Failure to do so (whether intentionally or not) will affect the information, advice, and medications we give you, which may have consequences for which we are not responsible. Our clinic doctor may require additional information from a patient before deciding to providing the service. We try to reply to all patient emails within 72 hours, excluding public holidays or clinic closure days.

Follow up:

The clinic doctor or staff member may be contact you after using the service checking how you are getting on and for feedback. We would appreciate if all patients can give feedback which will help us improve the service. From time to time we use anonymous patient information to carry out clinical audits and help improve patient and clinical care.

Weight Management Programme & Booking Fees

All weight management programmes are based on a complete 12 week course. These programmes have been carefully developed to assess patients and achieve the best results, as such, full adherence to these programmes is essential for patient safety and to achieve best results. Patients who do not adhere to the treatment course or fail to attend or cancel (as per cancellation policy) appointments may have their weight management programme terminated and will be required to start a new 12 week programme

Patients can opt to pay for their weight management treatment in one full payment or instalments based on their return appointments (2 weekly or 4 weekly). To limit no shows and to increase availability of appointments there will be a £30 deposit added to the initial booking of instalment-based programmes. This deposit will be credited to your final instalment on successful completion of the full course. The £30 deposit is non refundable if you have failed to attend or cancel any scheduled appointments (as per our cancellation policy).

Patients who have paid in full but fail to attend or cancel a scheduled appointment will forfeit any costs/fees associated with that appointment. Any additional scheduled appointments may be credited to a new 12 week programme or the patient may pay for an additional appointment to complete the 12 week programme at the doctor’s discretion.

Appointment Cancellations

Patients have the right to change their mind and refuse treatment at any stage of the weight management programme. If you decide to cancel your treatment or change to another date, this must be done at least 48 hours prior to your scheduled appointment. Booking changes within the cancellation period may be done by phoning the clinic on 0141 333 1900 or via the Fresha booking site/app (used to book your appointment). Any changes to your scheduled appointment must fall within one week of the original scheduled date, if patients are unable to attend a rescheduled appointment within one week of the original then a new 12 week programme will be required. If you cancel or request a change less than 48 hours prior to your appointment you will forfeit the £30 deposit fee if paying by instalments or in the case of paid in full bookings you will lose any fees associated with the missed appointment. Strathearn Health and Beauty reserve the right to reject any booking.

Delivery and costs

Strathearn Health and Beauty clinic doctors will dispense and package all medicines. All deliveries will be delivered by an authorised courier within 7 working days in a secured sealed package, patients will receive an estimated delivery time by email on day of delivery. All packages must be received by the patient or authorised person and cannot be left in a “Safe Place”. If there is no answer at the patient’s address or the recipient is unavailable to receive it, the courier will make another delivery attempted within 2 working days. Patients should check their emails for delivery advice and when goods are received should also check the content of the package. If the package/medication is damaged or incorrect you should contact us immediately on 0141 333 1900. If the patient is unavailable to receive the package after the 3rd delivery attempt, the package will be returned to the clinic doctor and a rescheduled delivery will be made at addition cost to the patient. Any deliveries in highlands and islands will incur further cost, telephone us for a quote on these deliveries on 0141 333 1900.

Processing Payments

All payments are taken via our online booking agent website or app (Fresha) and as such, all patients are bound by the terms and conditions of service of these companies. For more information, please check out the terms and conditions set out by Fresha.

Laser Treatments

All Laser Treatment patients will be expected to complete a medical questionnaire in order to access their suitability for the Laser Treatment programme. Existing patients who are returning after an interval period of 3 months or who have had a change in circumstances (new medication, health condition, treatment…) will also be expected to complete a new medical questionnaire and are subject to a new patch test.

If for any reason the practitioner reviewing your questionnaire has any concerns or queries you may receive a telephone call to discuss the matter further. If your questionnaire shows that you are unsuitable for the Laser Treatment programme you will be notified prior to your appointment and no charge will be taken from your payment method.

All new patients or patients who have not attended the clinic in over 3 months are required to have a patch test on the treatment area before any Laser treatment can begin.

Patients who routinely miss appointments may have their programme terminated. In addition the clinic will monitor the progress of each patient and make a decision based on results to determine the progression of the course.

These courses will be carefully developed to assess patients and achieve the best results, as such, full adherence to these treatment courses is essential for patient safety and to achieve best results. Patients who do not adhere to the treatment course or fail to attend or cancel (as per cancellation policy) appointments may have their Laser Treatment programme terminated.

Appointment Cancellations
